Terms of Service

1. Who we are

AutomateVictoria is operated by Cben, located in Victoria, British Columbia, Canada. Contact: cben@automatevictoria.ca

2. What this website is

This website provides information about business and workflow systems consulting. It does not provide legal, financial, or technical advice. Information on this site is for general informational purposes only.

3. Services

Consulting and build services are governed by a separate Service Agreement signed with each client. These Terms apply to use of this website only, not to the delivery of services.

4. No warranties

This website is provided "as is." We make no guarantees that it will be available at all times, error-free, or that the information is complete or current.

5. Limitation of liability

To the maximum extent permitted by applicable law, AutomateVictoria shall not be liable for any indirect, incidental, or consequential damages arising from use of this website.

6. Third-party links

This site may link to third-party websites and services. We are not responsible for the content or privacy practices of those sites.

7. Governing law

These Terms are governed by the laws of British Columbia, Canada.

8. Changes

We may update these Terms at any time. Continued use of the website constitutes acceptance of any changes.

Privacy Policy

This policy explains what information we collect, how we use it, and your rights under Canadian privacy law (PIPEDA). It's written in plain language on purpose.

1. What we collect

When you contact us or fill out the "Build it" form:

Name, email address, and business name
Industry, team size, and your answers about where your time goes
Anything else you choose to share in a message

When you chat with Sage (our website assistant): chat messages are logged, along with a timestamp and a session ID, so we can improve the answers Sage gives and follow up on questions when asked to.

When you visit from a personalized email link: the link may carry your name, email, and business name, and the site stores them in browser cookies (av_name, av_email, av_biz) for up to 7 days. This is what lets the site greet you by name and skip the contact step on forms. Clearing your browser cookies removes them.

When you receive an email from us: our emails include a small tracking image that tells us whether the email was opened. Many mail apps block or pre-load these automatically.

When you browse this site: basic analytics (pages visited, approximate location, browser type) via Google Analytics.

We do not collect payment information on this website.

2. How we use it

To respond to your inquiry and follow up on form submissions
To prepare a specific proposal if you ask for one
To deliver services under a signed Service Agreement
To understand which pages and emails are useful, so we can improve them

We do not sell, rent, or share your personal information with third parties, except service providers needed to operate the business — our CRM (HubSpot), email (Zoho Mail), spreadsheets and storage (Google Workspace), and workflow tooling (Make.com) — each governed by their own privacy policies, or if required by law.

3. Commercial email (CASL)

If you receive an email from AutomateVictoria, it is because you made an inquiry and provided your contact information, or your email address is publicly listed in connection with your business role and our message is relevant to that role (implied consent under CASL).

Every commercial email includes an unsubscribe option. To be removed from our contact list, reply with "unsubscribe" and we will process your request within 10 business days.

4. Where your data lives

Contact information is stored in HubSpot (cloud CRM, US-based servers) and Google Workspace. Form submissions and chat logs are stored in Google Sheets. We retain information for as long as there is an active or potential business relationship, or as required by law.

5. Your rights

Under PIPEDA you can request access to the personal information we hold about you, ask us to correct it, ask us to delete it (subject to legal retention requirements), or withdraw consent for us to contact you. Email cben@automatevictoria.ca and we'll handle it.

6. Cookies

This site uses Google Analytics cookies to measure traffic, and the three personalization cookies described above (only set if you arrive via a personalized link). No advertising cookies. You can opt out of Google Analytics with the Google Analytics Opt-out Browser Add-on.

7. Children

This website is not directed at children under 18. We do not knowingly collect information from minors.

8. Changes to this policy

We may update this policy periodically. The date at the top reflects the most recent revision.
